The 3 Platforms I Couldn’t Run My Senior Photography Business Without


When you’re first starting photography, it might feel like you need 27 different platforms just to run your business.....


Client galleries. Contracts. Emails. Invoices. Questionnaires. Websites. Scheduling. Guides. Social media. It gets overwhelming really fast!!!


But one thing I’ve learned over the years? You absolutely do not need a million complicated systems to build a successful photography business.


I’m actually a huge fan of keeping things simple!!!


When I first started photography, I used gmail to communicate with clients, google forms for questionnaires, google sheets to track sessions, and I only accepted cash or checks at shoots. It definitely wasn’t fancy, but it worked!!


Honestly, I think beginner photographers sometimes underestimate how far simple systems can take you.


Over time though, as my business grew, I realized I wanted to create a smoother and more professional client experience. I wanted workflows that saved me time, helped me stay organized, and made my business feel more cohesive and elevated for clients.


So little by little, I invested in platforms that genuinely improved both my workflow and my client experience.


These are the three platforms I personally use the most as a senior photographer, and the ones I genuinely wouldn’t want to run my business without.

I absolutely LOVE Pixieset.


It’s simple, aesthetic, dependable, and honestly one of the easiest photography platforms to learn as a beginner. One of my favorite things about Pixieset is that they’re constantly improving the platform and adding new features that actually make sense for photographers.

When I first joined, it was mainly just a client gallery delivery service — and at the time, it was basically my one major photography subscription. I used Wix for my website and separate systems for everything else.

Honestly, from everything I’ve researched and experienced, I think Pixieset is one of the best platforms for beginner photographers because it’s basically an all-in-one system without feeling overly complicated. And not to mention it’s SUPER affordable!!

Because I do extra editing on selected images, my clients usually choose their favorites from a proof gallery first. I LOVE the watermark feature for this. It keeps everything organized and easy for clients to navigate.



Another huge reason I stay with Pixieset is the Lightroom integration. I can easily upload galleries directly from Lightroom, which saves so much time during busy season!!

The templates are also simply beautiful. Even if you’re not super tech-savvy or design-oriented, you can still create something that looks professional and cohesive:) It makes a BIG difference!!!

I think beginner photographers sometimes assume they need the fanciest branding or the most expensive website to be taken seriously, but clients mostly want an experience that feels clear, organized, and trustworthy. Pixieset helps create that <3

I’ve used Honeybook for 3 years and at this point my entire workflow lives there. 


I’ll be honest- it was a learning curve at first.


When you first open HoneyBook, it can feel like there are a million features and tabs and workflows. But once you understand how everything connects together, it becomes incredibly helpful for organizing your business and saving time behind the scenes.


And as someone who used to manually keep track of literally everything… this platform has made a huge difference for me.


 I don’t personally use any of the AI features, but especially if you’re looking to speed up your workflow, they have lots of AI capabilities (like automating responses to inquiries/ect.) to book more sessions, make processes faster, and keep on top of things!

Why I stay with Honeybook:

 Honeybook completely optimized my workflow! 


One of my favorite things is how customizable everything is. You can create templates for emails, invoices, questionnaires, and contracts so you’re not rewriting the same things over and over for every client.

I also love the Smart Fields feature. It automatically fills in information like the client’s name, session date, or location throughout documents and emails. So instead of manually updating every single form, HoneyBook populates those details for you automatically — which saves so much time and helps avoid mistakes.

It sounds small, but when you’re juggling multiple clients during busy season, those little efficiencies matter a lot.


I also really love the integrations. HoneyBook connects with platforms like Canva, Calendly, and Google Calendar, which helps keep everything in one place instead of scattered across 14 tabs on my computer.


And honestly… this is random, but I genuinely love the overall feel of the platform. Every time I open it, there’s some little encouraging message or reminder and it somehow makes things feel less stressful😂

Another underrated feature is the finance section. It helps track income, expenses, and payments all in one place, which becomes really helpful during tax season.


Truthfully, I feel like I barely scratch the surface with everything HoneyBook can do. There are so many automation features, AI tools, and workflow options available depending on how advanced you want your systems to become.

  • Multi-step workflows


Downsides:

  • Learning curve

  • More Initial Setup

  • Can feel overwhelming at first

Oh Canva, how I love you. We all know and love Canva. 


I recently upgraded to the paid version and honestly don’t know if I could go back. The access to additional fonts, elements, storage, folders, resizing tools, and brand features has been so worth it for me.

Canva makes my business feel cohesive without needing a graphic designer!


And for photographers especially, branding matters more than people realize. Your editing style, website, social media, guides, and client experience should all feel connected — not necessarily perfect, but intentional.


Canva makes that possible even if you aren’t naturally “good at design.”

I also love that it’s constantly evolving. They’re always adding new features, templates, and tools that make creating content easier.

  • Easy to over-design things

  • Some templates can look generic if you don’t customize them

  • Sometimes all the options can seem overwhelming. 


One thing I’ve learned though: simple almost always performs better than overly complicated design.


Especially as photographers, we sometimes feel pressure to make everything look wildly creative — but clear, clean, and cohesive usually connects with clients more.


Pricing:

Canva's pricing is pretty reasonable, and honestly you can get by with a free plan for a long time. However, I will say I LOVE having access to more elements and tools with the paid version! I use Canva Pro!

There are so many great photography platforms out there, and honestly, a lot of this comes down to personal preference and workflow style.

Personally, I stick with my current setup because it feels simple, organized, and sustainable for the way I run my business. I’ve learned that the “best” platform isn’t always the one with the most features… it’s the one that helps you work efficiently without burning you out:)

I’m a huge believer that successful photography businesses are built on connection, consistency, and client experience, not just expensive software!!!


These platforms absolutely help elevate my business. They help me stay organized, create a smoother client experience, keep my branding cohesive, and save me an incredible amount of time behind the scenes.


But at the end of the day, what truly makes someone a good photographer is:


  • How they treat people

  • The experience they create

  • Their consistency

  • Their creativity

  • Their dedication to improving their craft


The tools are there to support you, not define you:)))


So if you’re a beginner photographer feeling overwhelmed by all the different subscriptions and platforms out there, my biggest advice is this:

Start simple.


You do not need everything all at once.


Choose tools that genuinely make your life easier, help you stay organized, and improve your client experience little by little over time.
